Best Practices for Finding Messages in the Zapper Platform

This guide will help you make the most of the filters to find conversations more quickly and efficiently.

If you need to look up a specific interaction in the Zapper platform, using the filters strategically is essential for a fast and accurate search.

Below are some helpful tips to improve your searches and avoid common issues.

✅ Use as many filters as possible

The more filters you apply, the faster and more accurate the search will be.

Whenever possible, we recommend combining:

  • Agent (who handled the interaction);

  • Contact phone number (with area code, no spaces);

  • Exact date of interaction (avoid broad time ranges).

🔍 Combining filters narrows the results and helps avoid delays or incomplete searches.


📅 Always search by exact date (not by long time ranges)

Avoid searching with long time periods like:

  • Last 15 days;

  • Weekly ranges;

  • Full months.

Recommendation:

Use the exact date the interaction happened. If needed, repeat the search for each specific day. This keeps searches quick and avoids performance issues.


⏳ Allow time for search processing

After applying filters, the system may take up to 2 minutes to load the results.

During this time:

  • Avoid changing filters or clicking again;

  • Do not refresh the page;

  • Wait patiently for the results to load.

⚠️ Interrupting the process can reset the search and increase the waiting time.


📌 IMPORTANT: Searching by phone number may not always return results

If you're searching by phone number and the message isn’t showing up, it may be because the number was registered in WhatsApp before the addition of the number 9 (a change made in Brazil’s mobile numbering system).

How to work around this:

For numbers from outside the São Paulo area (i.e., not DDDs 11–19), try searching without the 9 at the beginning.

Example:
Instead of searching for 67991234567, try 6791234567.

ℹ️ This applies especially to area codes outside the state of São Paulo (e.g., 61, 21, 31, 67, etc.), where older registrations may still exist on WhatsApp.


📈 For broader searches, use the “Reports” tab in Zapper Analytics

If you're looking for:

  • Very old interactions;

  • Conversations across large time frames;

  • High volumes of messages;

We recommend using the “Reports” tab in Zapper Analytics, where you can:

  • Filter by agent, date, and more;

  • Access historical data safely;

  • Generate detailed reports as needed.
